How to set up the AI assistant
On this page
The AI assistant automatically responds to messages and comments on your social networks using your business information and frequently asked questions.
It answers for as long as your plan has active contacts left in the cycle. Once you hit the cap, automatic replies pause until renewal — messages keep arriving in the inbox and you answer them by hand. The count is under Plans.
Steps
- Open Social Media → AI Assistant.
- Use the Assistant Status switch to put it online or offline.
- Under Agent Identity, type the name it introduces itself with and press Save.
- Under Personality and Tone, choose Formal, Empathetic or Casual.
- Open the Engagement tab.
- Review the fallback chain: what happens when the assistant cannot answer.
The tone and the status switch save instantly; the Save button applies only to the agent name, and it enables only when that name changes — if it looks greyed out, you have not typed anything different yet. The Knowledge Base and the Voice Profile show as Coming soon and cannot be edited yet. To silence the AI in one particular conversation, use the switch in the Inbox.
The authorization Sarai always asks for
Before registering a new patient, Sarai asks them three questions, each in a message of its own, with your clinic’s name, the email on your business profile and the link to your data-processing policy:
- Whether they authorize processing their identification and contact data to book, remind them of appointments and invoice. Law 1581 requires it to register them.
- Separately, whether they authorize processing the health data they share in the chat (their symptoms or the reason for the visit). Optional.
- Whether they want promotions on that channel. Also optional.
It is not configurable and cannot be turned off: without the first one there is no legal basis to store their data, and the system refuses to create the patient. The system, not the assistant, writes the questions and reads the answers. The questions are always sent in Spanish.
What you will see in practice:
- Sarai first asks for the name and document, then asks the three questions, one per message.
- A “bueno” or a “dale” does not count. Sarai asks again until it has a clear yes or no. That is deliberate: the law requires it to be explicit.
- If the patient says no to the first one, Sarai does not register or book them, explains it calmly, and points them to your phone number. This is not an assistant fault.
- A no to health data or to promotions does not block the appointment.
- A patient who already authorized is not asked again.
Each answer is recorded with the exact question they were sent, what they replied and the date. You can see the data and promotions authorizations on the patient record, Administrativo tab.
Tip
Keep your FAQs and business profile up to date: they’re the source that the assistant uses to answer.
